Grants: Creating Systems Can Make Your Life Easier

By Laura Cochran, GPC

There’s something about the clean slate of a new year, whether that new year starts in January, June, or September, that is so very appealing. For once, you’re not behind in anything.

Unfortunately, it’s a feeling that doesn’t last long. Application and reporting deadlines rapidly add up and all of those “other duties as assigned” tasks quickly take over your calendar and time. Suddenly all of the joy of what might be has been drowned in what is. So how do you keep your head above water when your to-do list continually grows? One way is to create systems that can help you stay on track and “automate” processes.

Creating systems for grant professionals — whether they are writers, managers, evaluators, or administrators — provides a wide range of benefits that improve both individual and organizational performance. These benefits can be categorized into several key areas:

  • Streamlined Workflows: Systems standardize repetitive tasks, such as tracking deadlines, sending reminders, or managing data. This allows grant professionals to focus on higher-level activities like strategy development, stakeholder communication, or program design.
  • Faster Response Time: With systems in place for document storage, review processes, and submission deadlines, grant professionals can handle more tasks in less time, speeding up the entire grant cycle.
  • Error Reduction: Systems help reduce human error, such as missing deadlines, inconsistent data entry, or overlooking critical components in proposals.
  • Clear Communication Channels: Systems that track progress, deadlines, and responsibilities help grant professionals stay in the loop and maintain clear communication. This reduces miscommunication and ensures that everyone is on the same page.
  • Clear Role Definition: With systems in place, grant professionals know exactly who is responsible for each task and when it is due. This accountability leads to higher-quality work and ensures that all steps are completed within deadlines.
  • Progress Tracking: Systems allow grant professionals to track the status of each grant or proposal, monitor completion rates, and identify any bottlenecks in the process. This visibility helps manage workloads effectively and ensures that no tasks are overlooked.
  • Auditing and Reporting: Systems provide an easy way to generate reports and audit trails of all activities related to a grant. This is especially helpful for ensuring compliance with internal policies, external regulations, and funder requirements.

Systems don’t have to be complicated or created at once. Determine your biggest pain points. Is it managing deadlines? Coordinating reviews? Gathering information? Tracking outcomes? Choose the biggest challenge and work to create a system that will help you manage the process. Start small and be prepared to make changes if something isn’t working. Systems aren’t written in stone.

Creating systems for grant professionals isn’t just about efficiency—it’s about empowering you to focus on what truly matters: writing impactful proposals, building relationships, and advancing your organization’s mission. With the right systems, you can reduce stress, collaborate more effectively, and ensure nothing slips through the cracks. Ultimately, systems help you work smarter, increase your success rate, and find greater satisfaction in making a real difference.
